Department Group Manager

Creating Department Groups is only accessible to administrators with the highest site permissions. 

If you are unable to manage Department Groups and feel that you are missing this permission, contact our support team at support@imagineeverything.com.

To create a Department Group, follow these steps:

1. Select the Groups option on the left side of the Departments Manager to access the Departments Group Manager.

New Feature: Department Groups - To control access to your Departments, you will utilize the new Department-specific group feature. Department Groups enable you to both grant access and set dynamic permissions within each Department by utilizing your organization’s current authentication strategy. Note that these are different from standard security groups, but utilize the roles you have already created.

2. Select the button on the top right of the Departments Group Manager.

Note: The functionality to show users via the Show Users icon will be added to the Departments Manager at a later point.

Filtering Department Groups- The Department Group Manager contains the ability to filter based on a search term, or the Department that a Department Group has been assigned to.

3. In the Department Group creation menu, enter the Name, Description, Role, Department, and external group ID(s) for the user groups that have this role within the given Department, and hit Save.

Managing Department access - Because Departments are very similar to sites, access can be controlled granularly. By creating multiple Department Groups for a Department and applying different roles to each, you can assign various user groups within your organization to other roles within a Department. Department Groups with roles that have no permissions will have read-only access to their department’s content, while those with shared permissions will be able to read and write their department’s content.

After creating a Department and linking it to a Department Group, users with external IDs listed in that group can see the new Department in the site selector when they login to Content Manager.

Top-level administrators will be able to see all Departments from the site selector and do not need to be added to a Department Group.
