Department Content
Standard users and top-level administrators have slightly different experiences managing content in Content Manager. For standard users, managing content for a Department is similar to managing content for a site. However, top-level administrators have the additional capability of transferring content.
How to create new Department content:
| ⓘ | Departments and Sites - Departments are simply a narrow version of your existing sites that give departmental users the ability to interact with pages assigned to them. To aid in finding or knowing what Departments you are working on, they can be selected from the site selector the same way a site would be. |
1. Sign in as either a user from the new Department Group created in previous steps, or a top-level administrator for your organization, and ensure that a Department has been selected from within the site selector.

2. Navigate to the Page Manager via the left navigation menu, which will show all pages that are currently within this Department.
3. Select to create a new page for this Department, and choose a relevant name and template.
| ★ | New Feature: Department Content Filter - Within the Page Manager, News Manager, and Events Manager, a new filter has been added to help find content related to a certain Department. Note that this filter will only show Department content that you have access to when you are browsing within one of that Department’s Host Sites. Please note that this content can only be edited by selecting the department via the site selector. |
4. Select each Host Site from within the Sites dropdown that you want this page to appear on.
Note: When creating content for a Department, you can make it specific to a particular Host Site. If a Host Site is not selected, the page will not be displayed when the Department is added to navigation in later steps.
5. Edit the page content as usual, then mark the page as published and click Save
| ⓘ | Department Images and Documents - As Departments are similar to sites, they also have their own Document and Image Managers. These managers allow users to create documents and images specific to this Department. |
6. Once you save a page in either a draft or published state, the Manage Navigation button appears, enabling you to add this page to the Department’s navigation.

7. Finally, you can preview your new page by clicking the preview button from either the Page Editor or Page Manager and selecting the Host Site on which you want to preview this page.
Note: Only Host Sites that have this page shared with them will appear in this list
How to transfer existing content to a Department:
Suppose you already have content created on other sites that you want to add to a Department. In that case, you can transfer existing content to that Department using this process.
| ★ | New Feature: Transfer Content - With the addition of Departments, comes the ability to transfer content between sites and Departments. Transferring content allows administrator users to select content shared with any site, and transfer it to a Department. Administrator users can also revert content back to non-Department content if required. |
1. With the Host Site you want to transfer content from selected in the site selector, navigate to the Page Manager via the left navigation menu.
2. Select the button for the page you wish to transfer, and then select the Department option.

3. In the Department transfer menu, select the Department to which you want to transfer this content, and select Transfer.
Note: Images and Documents within transferred pages will be accessible via that page within a Department, however, they will not be added to that Department’s Image or Document Managers.
| ⚠ | Transferring content ownership - Transferring ownership of a page to a Department will set the page to a draft state, and automatically share the page to all Host Sites for a Department. To publish this page or change what Host Sites it is shared to, you will need to edit the page from within the Department. |
4. To access the content you transferred to a Department, you must ensure that the Department you transferred this content to is selected from the site selector in the top right.
How to revert content from a Department to a site:
To revert or transfer Department content back to normal site content that is shared with one or more sites, follow these steps.
1. With the Department you want to transfer content from selected in the site selector, navigate to the Page Manager via the left navigation menu.
2. Select the button for the page you wish to transfer, and then select the Department option.
3. In the Department transfer menu, select the Revert button to initiate the transfer back to site content.
4. Finally, select the sites you wish to share this content with, and click Transfer.
Now that we have content within our Department, whether newly created or transferred, we can move on to setting up navigation for our Departments.
